Creating New Diary Items
To create a new diary entry, go to the diary module and click on the ‘New’ button at the top left of the diary screen.
The new diary item window will open. This is where you can fill in the details of your new diary item.
You will have to add a start and end date.
To make the item repeat, check the ‘Recurring’ tick box to the right of the start date. You can then edit the reoccurrence pattern on the right-hand side of the diary item screen.
By ticking the ‘Private’ tick box, the item details will only be visible to you. Other users will see that you have a diary item but will not be able to double click and load the item.
Ticking the ‘High importance’ box will flag the item up in red. ‘Low importance’ makes the text less prominent.
When you create a new diary item, it automatically adds you to the users and groups section at the bottom left of the screen.
If you wish to add other people to the diary item, double-click on their name from the list to the right. You can add as many users as you want or you can add groups of people. The user groups are defined in the staff section of the program.
With each user or group that you add, you can allow the ability to edit or set reminders.
Tick the ‘Enable Reminders’ option on the right-hand side. You can then choose how often you want the reminder to pop up and if you want it to remind everyone or just selected attendees.
If you want to edit the date of a diary item, depending upon its type, you can click on it and drag it to the required date.
To delete a user, highlight their name, right-click and select ‘Delete Item’ from the drop-down. Or you can remove all users by right-clicking and selecting ‘Clear’.
