Microsoft 365, previously Office 365, is the place to find all those applications you use at home and in the office.
Clik has integrated with Outlook for a while now. In early 2021, we then upgraded these integrations to make it even better for you and your business. You can now connect your personal and/or shared Microsoft 365 accounts to Clik Service and streamline your email, calendars and more.
We’re going to take a look at each of the key areas of the Clik Service Microsoft 365 integration, show you how you can get started and how it can improve your job management.
What Can the Microsoft 365 Integration Do?
There are three main integrations with Microsoft 365 that you can find in Clik Service: email, diary and search. You can utilise each of these as soon as you connect your account/s. Each of these areas has its own benefits to help you manage aspects of your business. Here is what each of them can do.
Having everything you need in one place is incredibly important when trying to get work done. Switching back and forth between tabs and programs can easily get confusing and time-consuming.
That’s why Clik Service has so many options to easily send emails from various modules directly in the software. With the Microsoft 365 email integration, you don’t have to copy and paste client details or search everywhere for a copy of their job sheet. Just find the company in your CRM and email from your Outlook account directly from the software.
If you already have Outlook and Clik Service, why not just combine the two in one? Applying the CRM Outlook integration and using Outlook in your service management software can make your life easier.
Need to send your client a copy of their completed job sheet? In just a couple of clicks, you can prepare the email with a PDF of the job automatically attached. Select the contact from your CRM, compose a message and send it with ease.
With the Microsoft 365 email integration, you will be able to:
- Send emails from shared or personal Outlook inboxes from Clik Service.
- Send property change notifications through Microsoft 365.
- Create email signatures for your emails.
Calendar
Having your appointments stored across different applications can make sticking to a schedule difficult. It might lead to double-booking yourself or your engineers without realising until it’s too late.
The Microsoft 365 integration can make planning and organising easier. You can add your Outlook calendar items to the Clik Service diary, so everything is in one place. Never miss a meeting again and organise your work schedule without needing to check multiple programs or planners.
Export Clik Service diary items to Outlook, so all your calendars match without having to re-type any details. You can sync engineer planning across to Microsoft 365 too. Select specific engineers or the entire schedule then set up reminders and set your status if the item is assigned to you. That way, you have all your job sheets and contracts scheduled and your team knows when you are unavailable.
From there, you can also customise templates for your diary items, so you and your team see the information you need when syncing your diary. Perhaps you want your engineers to easily find the relevant job details in Clik Remote for job planning items. You can customise your diary templates so that when engineer planning is sent across to Outlook, it contains a direct link to Clik Remote, saving your engineers time.
With the Microsoft 365 calendar integration, you will be able to:
- Overlay your Outlook calendar in the Clik Service diary.
- Sync engineer planning, holidays, furlough and more to Outlook.
- Set up calendar templates to organise which information you want to see for diary items.
Search
With the Microsoft 365 integration active, more options are given to you across different modules in Clik Service. One of those options is the search function, which you can find in the CRM, jobs and other modules. This allows you to save and quickly find related emails from your Outlook, without having to switch back and forth between programs.
You can find useful communication related to a specific customer, responsible contact or reference just by clicking on the Outlook icon next to the field on a job sheet. Then, you have options to view the email and its attachments, or you can save them to your documents/communication history. This way, any key details related to a job or customer can be viewed by your team.
This is a great option if you receive attachments related to a job or customer, such as photos from site or other documents, as you can easily save them to a job sheet without having to do it through your email client. It cuts out unnecessary processes and ensures you and your team can easily access everything they need to provide the best customer service to your clients.
With the Microsoft 365 search integration, you will be able to:
- Search for Outlook emails in the CRM or job sheets.
- Save emails to documents or communication history.
- Save email attachments to the job sheet or CRM.

How to Get Started With the Microsoft 365 Integration
If you are a current Clik Service user with Microsoft 365 accounts, it’s easy to get started with the integrations. Once you connect your account/s in Clik Service, all of the prementioned settings and options will become available to you.
- You will first need to make sure you are running the latest Clik Service update. v4.335 or higher is required.
- If you are an admin user for Clik Service, you can log into your account in the settings.
- You can also give access to other users to set up their accounts.
- Once logged in, you can then send emails from your Outlook account.
- Overlay your Microsoft 365 calendar to display on your Clik Service diary.

What’s Planned
There’s already so much you can do with the Microsoft 365 integration, but we want to make it even better. We plan on integrating with more modules in 2022, so you can streamline even more of your workday.
SharePoint
SharePoint is a web-based solution to help colleagues collaborate. The planned SharePoint integrations will allow you to store your Clik Service documents in the cloud, rather than in the local database. This will help free up space and make it easier to store the information you need.
Teams
Since working from home became the norm for many, businesses have also incorporated Microsoft Teams to bring their team together when they are apart. One big introduction to Clik Service is the Microsoft Teams integration. This will work with new and improved property change notifications to help deliver notifications when important tasks are completed.
